LEAD AUTOMATION

Respond to Every Lead Quickly and Route It to the Right Person

We automate how leads are captured, qualified, assigned and followed up, so enquiries from ads, forms and chats don't sit waiting for attention.

OVERVIEW

What Lead Automation & Qualification Involves

Leads come from everywhere: website forms, Facebook and Google lead ads, WhatsApp, phone calls and chat. When each source lands in a different inbox, response times slip and some enquiries never get a reply at all.

Lead automation brings every source into one place, checks the basic details, and decides what happens next. A hot lead might trigger an instant call alert to a salesperson. A lead missing key information might get a friendly message asking for it. A poor fit might receive a polite reply with useful resources.

AI can help sort leads by reading free text messages and picking out intent, budget hints or urgency. It's a useful first pass, but scoring rules should be reviewed regularly against real outcomes, and borderline leads should still reach a human.

COMMON PROBLEMS

Problems This Helps Solve

Slow first response

A lead waits hours or days for a reply and books with a competitor in the meantime.

Leads scattered across channels

Ad platforms, forms and inboxes each hold some leads, and nobody sees them all.

Unclear ownership

Nobody knows which rep should take a lead, so two people call or nobody does.

Time wasted on poor fits

Sales spends time on enquiries that were never likely to buy.

HOW IT WORKS

How It Works in Practice

When a lead arrives from any connected source, it's checked for duplicates and saved with its source. Qualification rules (and an optional AI step for free text) assign a priority. The lead is routed to a rep, who gets an alert by email, Slack or WhatsApp, and the lead gets an acknowledgement message.

If the assigned rep doesn't act within a set time, the lead is escalated or reassigned. Follow-up messages run on a schedule but pause as soon as the lead responds, so a person takes over the conversation.

Every lead gets an acknowledgement straight away and a rep is alerted.

Each lead has one owner and a visible next step.

  • Focus on promising leads

Sales time goes to enquiries with real intent first.

  • Better source tracking

You can see which channels bring in leads that actually convert.

FAQS

Questions About Lead Automation

Will automated replies feel robotic?

They don't have to. We write short, natural messages in your voice and keep them honest: they confirm receipt and set expectations rather than pretending to be a person.

Can AI decide which leads to reject?

We don't recommend that. AI can help sort and prioritise, but deciding to drop a lead should be based on rules you've agreed or a person's judgement.

What about consent and privacy for messaging leads?

We only message leads through channels they've provided and agreed to, include opt-out options where required, and follow the rules of each platform.

Does this work with our ad campaigns?

Yes. Lead forms from Meta, Google and other platforms can feed straight into the system, tagged by campaign.
